Who is responsible

This website is run by VDC Dental Clinic Turkey, Bahçelievler Mah. Piri Reis Cd. No:18A, 07050 Muratpaşa/Antalya, Türkiye. We are the controller of the personal data described here. You can reach us at info@turkeydentalclinic.com or by phone on +90 544 348 07 87.

This policy explains which personal data we process, why, on which legal basis and for how long, and which rights you have under the EU General Data Protection Regulation (GDPR) and the Turkish Personal Data Protection Law No. 6698 (KVKK). Our KVKK Information Notice gives the further details the KVKK requires.

When you visit the website

To show you a page, your browser sends our server technical data: your IP address, the date and time, the page requested, the page you came from, and your browser and operating system. Our hosting provider runs the server in the European Union and keeps these access logs for a limited time, to deliver the website and to protect it against attacks. We do not use them to identify you. Legal basis: our legitimate interest in a secure, working website (Art. 6(1)(f) GDPR).

The website sets no cookies of its own, and you need no account to use it. Apart from the services described below, all fonts, images and scripts come from our own server.

Cookies and Google Analytics

Only with your consent, we use Google Analytics 4 to understand how visitors use the website, for example which pages they read and how they find us, and to improve it. Until you click “Accept” in the cookie banner, no Analytics script is loaded and no Analytics cookie is set. Advertising features are switched off.

Once you accept, Google Analytics sets the cookies _ga and _ga_…, which hold a random identifier, and receives your IP address, the pages you visit and information about your device and browser. The service is provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Data may be transferred to Google LLC in the United States, which is certified under the EU-U.S. Data Privacy Framework. Analytics data is kept for the period set in our Google Analytics account, at most 14 months.

Legal basis: your consent (Art. 6(1)(a) GDPR; explicit consent under the KVKK). You can withdraw it at any time under “Cookie settings” at the bottom of every page: Analytics then stops and its cookies are removed. Your choice is stored only in your browser (local storage, entry tdc_consent) and is never sent to us.

Google Maps

The bottom of every page shows our location on a Google Maps map, which loads when you scroll near it. Google then receives your IP address and information about your browser, and may set its own cookies. Legal basis: our legitimate interest in showing patients how to find us (Art. 6(1)(f) GDPR). Google’s privacy policy applies: policies.google.com/privacy.

YouTube videos

Our videos are shown as a picture first. Only when you click play is the video loaded from YouTube in its privacy-enhanced mode (youtube-nocookie.com). YouTube, a Google service, then receives your IP address and information about your device, and may store data in your browser. Legal basis: your request to play the video and our legitimate interest in showing it (Art. 6(1)(f) GDPR).

Reviews and social media

We link to our profiles on Google, Trustpilot, Facebook and Instagram. These are plain links: nothing is sent to these platforms until you open them, and their own privacy policies apply there.

When you contact us

You can reach us through the free quote form or the contact form on this website, or by WhatsApp, phone or e-mail. We then process the data you give us: your name, phone number or e-mail address, your messages and what you send us, such as photos, X-rays, information about your teeth and your health, and your travel dates. We use it to answer your questions, to prepare a treatment plan and a quote, and to arrange your appointments and your stay.

When you send the free quote form or the contact form, we store your request on our server: your name, e-mail address and phone number, your message and, in the free quote form, the contact channel you prefer, the treatments you are interested in, when you would like to come and your photos or X-rays. Photos are saved again without their metadata, such as location data, and kept outside the public part of the website. As a record of your consent we store its date and time, the version of the consent text and a one-way hash of your IP address, not the address itself. To protect the form against misuse, our server counts the requests sent from each IP address for up to 24 hours. Each request, with its photos, reaches our team by e-mail in the clinic’s mailbox (info@turkeydentalclinic.com), which our hosting provider runs on the same server in the European Union, and in our administration, which is protected by two-factor authentication.

Legal basis: the steps you ask for before a treatment contract, and the contract itself (Art. 6(1)(b) GDPR). Information about your health is a special category of data. We process it only with your explicit consent (Art. 9(2)(a) GDPR) and, once you are our patient, for your diagnosis and treatment by health professionals bound by professional secrecy (Art. 9(2)(h) GDPR). Under the KVKK the same applies (Art. 6 KVKK). Please send us health information only if you agree to this.

WhatsApp is a service of WhatsApp Ireland Limited (Meta). When you write to us there, WhatsApp’s own privacy policy also applies.

Who receives your data

• our hosting provider, which runs the website’s server in the European Union;
• Google, for Google Analytics (only with your consent), Google Maps and YouTube, as described above;
• WhatsApp (Meta), when you write to us there;
• transfer companies and hotels, if we arrange your transfer or accommodation, with only the details they need, such as your name and arrival time;
• authorities and courts, where the law requires it.

Some of these recipients are outside Türkiye, in the European Union or in the United States. We transfer personal data abroad only in line with Article 9 of the KVKK and Chapter V of the GDPR. We do not sell your data.

How long we keep your data

We keep the messages and documents of an enquiry for as long as we need them to answer it and to plan your treatment. Requests sent through the free quote form or the contact form are deleted automatically, together with their photos, 12 months after they arrive. If you become our patient, your health records are kept for the periods Turkish health law requires. Otherwise we delete your data once it is no longer needed, unless the law requires us to keep it longer.

Your rights

You have the right to:

• know whether we process your data, and receive a copy of it;
• have incorrect data corrected;
• have your data erased, or its processing restricted;
• receive the data you gave us in a common, machine-readable format;
• object to processing based on our legitimate interests;
• withdraw a consent at any time, without affecting the processing before;
• complain to a data protection authority, in particular in the country where you live, or in Türkiye to the Personal Data Protection Authority.

To use your rights, write to info@turkeydentalclinic.com or to our postal address. We answer free of charge within 30 days at the latest. Your rights under Article 11 of the KVKK, and how to apply, are set out in our KVKK Information Notice.

Security

The website is served only over an encrypted connection (HTTPS), and access to its administration is protected by two-factor authentication.

Changes to this policy

We update this policy when our website or our processing changes. The date at the top shows the current version.
